Privacy Policy

1. Overview

Workplix ("Workplix", "we", "us") provides employee scheduling software for businesses ("Organizations") and their employees, available via our web application and mobile app (iOS/Android). This Privacy Policy explains what information we collect, how we use it, and the choices you have.

An Organization (your employer) controls the account you use Workplix under and is responsible for the accuracy of the information it provides about you. If you have questions about how your employer uses Workplix, please also contact them directly.

2. Information We Collect

• Account information: name, email address, phone number, job role, and the Organization/branch you belong to.
• Scheduling data: shifts, shift assignments, availability, time-off requests, shift swap requests, and clock-in/ clock-out timestamps.
• Communications: notifications sent to you within the app, and any support messages you send us.
• Billing information: for Organization admins, subscription and payment details are processed by our payment processor, Stripe — we do not store full card numbers ourselves.
• AI assistant usage: if an Organization admin uses the AI scheduling assistant, the messages sent to it and the scheduling data needed to fulfill the request are processed to generate a response.
• Device and usage data: device type, operating system, app version, and push-notification tokens, used to operate and improve the app.

3. How We Use Information

• To provide scheduling, time-off, and time-tracking functionality.
• To send notifications about shifts, schedule changes, and requests.
• To power the optional AI scheduling assistant for admins.
• To process subscription billing for Organization accounts.
• To maintain security, prevent abuse, and debug issues.
• To communicate with you about your account or provide support.

We do not sell your personal information.

4. Sharing of Information

Your scheduling data is visible to authorized users within your Organization (e.g. managers and admins) as needed to run scheduling. We share data with the following categories of service providers, solely to operate Workplix on our behalf:

• Supabase — authentication and database hosting.
• Vercel — application hosting and our AI Gateway (used by the AI assistant).
• Stripe — subscription billing and payment processing.

We do not share your personal information with third parties for their own marketing purposes.

5. Data Retention

We retain your information for as long as your account is active with an Organization, and as needed to comply with legal obligations, resolve disputes, and enforce our agreements. An Organization admin can remove an employee's account, and you may request deletion of your data as described below.

6. Your Choices

You can review and update your profile information within the app. To request access to, correction of, or deletion of your personal information, contact us at workplixapp@gmail.com. Some information may be retained by your Organization independently of Workplix.

7. Security

We use industry-standard measures, including encryption in transit and access controls, to protect your information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. Children's Privacy

Workplix is intended for use by employees of businesses and is not directed to children under 16. We do not knowingly collect personal information from children.

9. Changes to This Policy

We may update this Privacy Policy from time to time. We will update the "Last updated" date above when we do, and material changes will be communicated to Organization admins.
